Custom Stage Presentation System for a Regional B2B Trade Fair

About the project

Konfero, a conference venue in Ustroń, Poland, hosted the first-ever Targi Atrakcji Śląska Cieszyńskiego — a regional B2B trade fair bringing together attraction suppliers, hoteliers, event organizers and local government. Rocksoft built the stage presentation system that ran the entire show: every speaker's slides, the intermission backgrounds, the segment with city officials, and the promotional videos, all through one system on a single LED screen.

Technology

  • Custom React application (evaluated against a Remotion-based prototype)

  • Local network (LAN) show control, no internet dependency

Services

  • Event-tech application development

  • Live production tooling

  • Stage AV integration

Industry

  • Events & conferences

  • Hospitality (MICE)

The challenge

Most conference AV setups mirror a laptop onto the screen — a window with black bars around it, sponsor logos pinned into slides that speakers forget to include, and video or music cued manually. Konfero wanted something that looked deliberately produced: one screen, one system, running everything from the opening signpost graphic to the closing film premiere.

The trickiest part wasn't the video or the visuals — it was making the system disappear. Six different speakers, each sending files in a different format, at different times, right up to the day before the event, all had to come out the other end looking like part of the same show, with the client's own branding surviving every single slide.

Objectives

#1

Fill the LED stage screen edge-to-edge, not as a bordered window with empty space around it.

#2

Keep the sponsor's logo permanently visible in a fixed corner zone without ever covering a speaker's slide content.

#3

Turn PPTX and Canva files from six different speakers into one consistent on-stage format, on short notice.

#4

Give the presenter a synced notes and next-slide preview on a separate device.

#5

Let the presenter advance slides with a clicker, with no operator needed at a laptop.

#6

Run the entire show on the venue's local network, independent of internet access.

How did we do it?

1. Prototype evaluation

Before building for the event, we ran the existing Remotion-based fork and tested it under real conditions. Some functionality broke during the demo, which settled the question: we moved to a custom React layer instead of extending Remotion.

2. Full-bleed scenic view

The stage view was built to the LED screen's exact aspect ratio, using its whole surface, with fixed corner zones reserved for partner logos that never collide with slide content.

3. Synced presenter view

A separate window, viewable on a second device at the podium, mirrors the stage view and adds presenter notes and a preview of the next slide.

4. Clicker control

A presenter's clicker drives the show directly — no laptop access needed — and both the stage view and the presenter view react to the same slide change.

5. Import pipeline for speaker materials

Speakers sent their decks as PPTX or exported from Canva. We built a pipeline that pulls the content into a shared JSON slide format, so material received the day before the event could still be converted and on stage the same day.

6. LAN-only operation

The stage view, presenter view and remote control all talk to each other over the venue's local network — nothing depends on the venue's internet connection.

Why build it, not buy it

Buying a commercial stage-presentation tool would have meant paying for a license neither side needed again after one event. Building it custom meant AI could re-style each speaker's deck to match the trade fair's own branding in minutes, instead of hand-editing templates. Before the doors opened, the system ran its own automated tests against every video, image and audio cue on the real hardware — confirming playback worked end to end — with backups already staged in case anything needed a fast swap.

The outcome

On 24 September 2026, six speakers presented back-to-back — including Rocksoft's own Piotr Czyż, on AI in events — without a single technical hitch. The system ran every part of the show: the speaker slides, the intermission backgrounds, the segment with city officials inaugurating Ustroń's new Business Council, and the promotional videos, including the premiere of "Szlak Murali Pogranicza".

A new agenda item, the mayor's slides, and a sponsor's video were all added into the running order as late as twenty minutes before the event started — and the system absorbed every change without anyone in the audience noticing.

Because Konfero's logo stayed pinned in its corner zone for the entire show, it now appears in every photo of the event that made it into press coverage — durable brand exposure the client didn't have to ask for a second time.

"The whole show was done to the highest standard. Every presentation worked exactly as it should — the speakers' slides, the backgrounds during breaks, the segment with the city officials, the promotional videos. Nothing broke, nothing was missing."
